1.3 As an exhibition and event organisation business serving clients and visitors across the Gulf and internationally, we are subject to privacy laws and process personal data relating to individuals located in different territories. Where you reside in or are located in the United Arab Emirates, the specific requirements of the UAE Federal Decree-Law No. (45) of 2021 regarding the Protection of Personal Data (the “UAE PDPL”) and its implementing regulations apply, as further described in Section 15 of this Privacy Notice.

3.1 We collect and receive personal data using different methods:

  • Personal data you provide to us. You may give us your personal data directly, for example, when you register for an event, contact us with an enquiry, subscribe to our marketing communications, complete a feedback form, apply to exhibit or sponsor at an event, or apply for a role with us.
  • Personal data we collect automatically, including through cookies and similar technologies. When you access and use our Digital Platforms, we may collect personal data automatically, including through cookies, tracking pixels and similar technologies. See Section 9 (Cookies) for further details.
  • Personal data received from third parties. We may receive personal data from third parties such as analytics providers, payment processors, registration platform providers, third-party directories, data brokers, data aggregators and other technical service providers. We may also receive information about you from your employer or from third parties acting on your behalf, for example when they complete registration forms for delegate, sponsorship, media partner or exhibitor activities at our events, or when they provide us with your details as points of contact for administration, billing or relationship management purposes.
  • Publicly available personal data. From time to time, we may collect personal data about you that is available from public sources (for example, corporate directories) or that you or a third party may otherwise publish (for example, posts on social media platforms or content shared via our Digital Platforms).

4. Personal Data We Hold About You

4.1 We may collect the following categories of personal data about you:

  • Identity Data: such as full name, username and password, and where relevant your job title and employer.
  • Contact Data: such as residential or business address, postcode, telephone number, mobile number, email address and social media handle.
  • Recruitment Data: such as date of birth, gender, country, nationality, CV, work experience, dietary requirements, and any other personal data you may provide in the course of an application or in connection with the supply of services to us.
  • Image Data: such as photographs and video recordings from events you have attended or contributed to.
  • Financial and Transaction Data: such as payment information (for example, credit card number and billing address), details about payments made between you and us, and details of services purchased from or supplied to us.
  • Profile Data: such as dietary requirements, accessibility requirements, information provided by you in your communications with us, information provided by you in our surveys, and your marketing and communications preferences.
  • Incident Data: information about an incident you were involved in at an event, including any personal data you provide in your factual description of the incident, observations where you are a witness, severity of any injury sustained, type of medical assistance provided, medical report number and details of treatment, and any other personal data collected during the process of completing an incident report.
  • Travel Data: including information necessary to enable you to travel to events, such as nationality, passport number, visa permits, travel itineraries and tickets.
  • Behavioural Data: such as location data or data relating to your browsing activity or interaction with our emails, obtained through the use of cookies, pixel tags and similar technologies; information about the referring URL; information about your use of our Digital Platforms, such as pageviews and events; information about when your current or previous sessions started; details about the Services you viewed on our Digital Platforms; ad-click information in URL parameters; and advertising or other identifiers associated with you or your device.
  • Technical and Usage Data: such as information about your browser, login information, network and device when you access our Digital Platforms or interact with our emails, including IP address, browser type, operating system, MAC address, device manufacturer and model, device UDID or Android ID number, and device IMEI number.
  • Publicly Available Data: such as information about your interests or affiliations, or publicly available content on your social media profiles.

5. Who We Collect Personal Data About

5.1 We collect and process personal data about the following categories of people:

  • Digital Platform Users. We collect and process your personal data in connection with your interaction with us and our Digital Platforms.
  • People who contact us with enquiries. If you contact us with an enquiry through our Digital Platforms, submit a complaint, or provide feedback to us in our surveys or feedback forms, we will collect and process your personal data in connection with that interaction.
  • Event attendees and visitors to our events or sites. If you attend or register for one of our events, or visit one of our sites or offices, we will process personal data about you in connection with that attendance. For example, we may ask you to complete a registration or feedback form, or to provide identification at entry.
  • Exhibitors and sponsors. If you (or the organisation you represent) exhibit, sponsor or partner with us at an event, we will collect and process personal data in connection with your participation, booth allocation, sponsorship deliverables, marketing rights and on-site logistics.
  • Speakers, talent and panellists. If you are speaking, moderating, performing or otherwise contributing to an event, we may collect and process your personal data in connection with such supply of services to us, including biographical details, photographs, presentation materials and travel arrangements.
  • Partners, suppliers and contractor personnel. If you (or the organisation you represent) supply products or services to us, or otherwise partner with us, we may collect and process your personal data in connection with our receipt of those products and services and the broader partnership.
  • Job applicants. If you apply for a job with us, whether through our Digital Platforms or otherwise, we will collect and process your personal data in connection with your application.

6. Our Processing Activities

6.1 We process your personal data for the following purposes:

  • to provide our Digital Platforms, including coordinating bookings you make, improving the content of our Digital Platforms, customising the content or layout of our Digital Platforms to suit your needs, and protecting against misuse;
  • to provide our Services, including ensuring our events are run correctly (including providing you with on-site and virtual event functionality), processing your payments, and protecting you against fraudulent transactions;
  • to deal with customer services and enquiries, carry out surveys, obtain feedback and prepare promotional material;
  • to carry out our promotional and marketing activities (see further below);
  • to carry out insight and analysis;
  • for recruitment purposes; and
  • for business administration and legal compliance purposes, including to exercise or defend legal claims.

7. Disclosure of Your Personal Data

7.1 We only share personal data with others when we are legally permitted to do so. When we share personal data with others, we put contractual arrangements and security mechanisms in place to protect the personal data shared and to comply with our data protection, confidentiality and security standards and obligations.

7.2 When processing your personal data, we may need to share it with third parties, as set out below. This list is non-exhaustive, and there may be circumstances where we need to share personal data with other third parties.

  • Service providers. We may share your personal data with third parties who provide IT systems, payment systems, customer relationship management systems, visitor registration systems, event management systems and general administration services.
  • Venue providers, affiliated hotels and providers of event services. We may share your personal data with these providers so that they can fulfil their contracts with you or with us to provide services at our events, or to offer you facility services at an event.
  • Auditors, lawyers, accountants and other professional advisers. We may share personal data with professional services firms who advise and assist us in the lawful and effective management of our organisation and in any disputes we may become involved in.
  • Recruitment agencies and related organisations. We may share personal data with external recruiters and with third-party providers that undertake background checks on our behalf.
  • Payment providers and banks. We may share personal data with third parties who assist us with our invoicing and with making or receiving payments.
  • Event sponsors. We may share your personal data with sponsors so that they can better plan their sponsorship and enhance attendee experience and, where applicable, to provide you with marketing communications or to choose invitees to private briefings, meetings or dinners.
  • Exhibitors. If you have interactions during an event with an exhibitor (for example, using a messaging or meeting service, scanning a QR code, sharing online or physical business cards, or having your badge scanned), we may share your personal data with those exhibitors so that they can provide you with follow-up information and marketing communications.
  • Data brokers. We may share your personal data with data brokers to enrich the data we hold and to provide our exhibitors with aggregated reports that profile the attendees at an event (for example, type of organisation, seniority, region). These aggregated reports do not contain your personal data.
  • Other attendees. We may share your personal data with other attendees of our events for specific purposes related to their presence at those events, for example networking matchmaking features within our event apps.
  • Regulatory bodies. We may share your information with regulatory bodies in accordance with our health, safety and licensing obligations when running an event.
  • Law enforcement agencies and public authorities. We may share your information with law enforcement agencies, public authorities or other organisations if legally required to do so, or if we have a good faith belief that such use is reasonably necessary to comply with a legal obligation, enforce our terms and conditions, detect, prevent or otherwise address security, fraud or technical issues, or protect the rights, property or safety of us, our users, a third party or the public.
  • Business partners. We may also disclose your information to third parties if we sell or buy any business or assets, in which case we may disclose your data to the prospective seller or buyer of such business or assets, or if we or substantially all our assets are acquired by a third party, in which case information held by us will be one of the transferred assets.

8. Individual Rights

8.1 You have certain rights in relation to the personal data we hold about you. These rights include the right:

  • to obtain confirmation of, and access to, the personal data we hold about you;
  • to request that your personal data be corrected or, where appropriate, deleted;
  • to request that the way in which your personal data is used or processed be restricted;
  • to object to our use of your personal data, including for direct marketing purposes;
  • to request the transfer of your personal data to you or to another controller (data portability);
  • where we rely on your consent, to withdraw that consent at any time;
  • not to be subject to a decision based solely on automated processing (including profiling) that produces legal effects concerning you or significantly affects you; and
  • to lodge a complaint with the UAE Data Office or other competent supervisory authority.

8.3 Where we rely on your consent to process your personal data, you will always be able to withdraw that consent. Withdrawing consent will not affect the lawfulness of any processing we carried out before you withdrew your consent. In some cases, we may have other legal grounds for continuing to process your data for other purposes, such as those set out in this Privacy Notice.

8.4 You can ask us to stop sending you direct marketing messages at any time by following the unsubscribe links on any marketing message sent to you, or by contacting us using the details in Section 2 above. Where you opt out of receiving marketing messages, this will not affect our processing of your personal data for other purposes.

10. Information Security

10.1 We have appropriate technical and organisational security measures in place to protect against the loss, misuse or alteration of the personal data that we have collected from you on our Digital Platforms or in the course of providing our Services. However, as the transmission of personal data via the internet is not completely secure, we cannot guarantee the security of your personal data, and any transmission is at your own risk.

10.2 Payments made via our Digital Platforms are processed in a secure environment using software provided by reputable third-party providers.

11. How Long Do We Keep Your Personal Data?

11.1 We will only keep your personal data for as long as is necessary to fulfil the purposes for which we collected it, including for the purposes of satisfying any legal, accounting or reporting requirements.

11.2 If any personal data is only useful for a short period (for example, for a specific activity, promotion or marketing campaign), we will not retain it for longer than the period for which it is used by us.

11.3 If you have opted out of receiving marketing communications from us, we will need to retain certain personal data on a suppression list indefinitely so that we know not to send you further marketing communications in the future. However, we will not use this personal data to send you further marketing unless you subsequently opt back in to receive such marketing.

12. Third-Party Links and App Stores

12.1 This Privacy Notice only applies to personal data processed by us through your use of our Digital Platforms or in connection with our Services and business operations. From time to time, our Digital Platforms may contain links to third-party websites and services. We have no control over those third-party websites and services, and this Privacy Notice does not apply to your interaction with them.

12.2 If you download and install any app of ours from an app store (such as Google Play or the Apple App Store), you must first register for a user account with the provider of the app store and agree to that app store’s user agreement. We have no influence over the terms of such user agreement and are not a party to it. When downloading, installing and using any such app, certain information may be transmitted to the provider of the app store, including identifiers relating to you or your device and the time of download. For further information on the type of information that may be shared with, or collected by, the app store provider, please see the relevant app store provider’s privacy notice. We have no influence over this process and are not responsible for the privacy practices of the provider of the app store.

13. Personal Data of Minors

While our Digital Platforms and Services are not intended for use by, or targeted at, minors (individuals under the age of 18), we may from time to time collect personal data of minors, for example where a minor attends an event accompanied by a parent or guardian. Where we do collect personal data of minors, we will comply with all applicable laws and regulations relating to the processing of personal data of minors, including obtaining the consent of a parent or legal guardian where required.

14. If You Fail to Provide Your Personal Data

Where we are required by law to collect your personal data, or we need to collect your personal data under the terms of a contract we have with you, and you fail to provide that personal data when we request it, we may not be able to perform the contract we have or are trying to enter into with you. This may apply, for example, where you do not provide the personal data we need in order to register you for an event, allocate an exhibitor stand to your organisation, or process an application to register an account. In these circumstances, we may have to cancel the provision of the relevant Services to you, in which case we will notify you.

15. UAE Privacy Laws and Requirements

This section applies if you reside in, or are located in, the United Arab Emirates and uses certain terms that are defined in the UAE Federal Decree-Law No. (45) of 2021 regarding the Protection of Personal Data (the “UAE PDPL”) and its implementing regulations.

15.1 Data Controller

For the purposes of the UAE PDPL, Messe Düsseldorf Connex Gulf Exhibition Organizing L.L.C is the controller and is responsible for the processing of your personal data as described in this Privacy Notice. 15.2 Lawful Bases for Processing

In order for us to provide you with our products and Services, we need to process your personal data. Any personal data received by us will be used for the purposes indicated in this Privacy Notice or in a separate notice provided to you. Except where permitted by law, we will not process your personal data in a manner that is inconsistent with the defined purposes for which it was collected. We rely on one or more of the following lawful bases for processing your personal data:

  • your consent, where freely given and specific to the relevant purpose;
  • performance of a contract to which you are a party, or to take steps at your request prior to entering into a contract;
  • compliance with a legal or regulatory obligation to which we are subject;
  • protection of your vital interests or the vital interests of another natural person;

  • our or a third party’s legitimate interests, where such interests are not overridden by your fundamental rights and freedoms.

15.3 Supervisory Authority

Processing of personal data in the UAE is overseen by the UAE Data Office. If you have any concerns or complaints about our processing of your personal data, we encourage you to contact us first so that we have the opportunity to address them. You also have the right to lodge a complaint with the UAE Data Office.

15.4 International Transfer Requirements

Please note that we may transfer your personal data to countries or organisations outside the UAE in connection with our Services, for example to event partners, registration providers, IT and cloud service providers, or affiliated entities supporting our operations. Under the UAE PDPL:

  • personal data may be transferred outside the UAE to countries or regions that have been deemed by the UAE Data Office to provide an adequate level of data protection;
  • where a transfer is made to a country without an adequate level of protection, we will ensure that appropriate safeguards are in place, such as contractual agreements that protect your personal data to a standard comparable to that required under the UAE PDPL; and
  • in certain limited cases, prior approval from the UAE Data Office or your explicit consent may be required for specific international transfers.

15.5 Individual Rights under the UAE PDPL

The UAE PDPL offers you the rights described in Section 8 above, including the right to access, correct, delete or restrict the processing of your personal data, to object to processing, to request data portability, to withdraw consent, and to lodge a complaint with the UAE Data Office.
